1.About TutorClear
TutorClear is a hosted platform for running a tutoring practice. Depending on your plan it provides students and contacts, scheduling and a calendar, lesson plans, homework and submissions, progress records and reports, invoices and lesson packages, enquiry management, a public booking page, a student and parent portal, optional integrations and an in-app AI assistant.
TutorClear is a tool for running your business. We do not provide tutoring, we are not a party to the arrangement between you and your students or their families, and we do not take payment from your students on your behalf.
2.Using the service
These terms are the agreement between you and TutorClear for your use of the TutorClear website and application at tutorclear.com. By creating an account or using the service, you accept them. If you are agreeing on behalf of a business, you confirm you have authority to do so and "you" means that business.
Our Privacy Policy explains how information is handled and forms part of this agreement.
3.Accounts
You need an account to use TutorClear. Give accurate registration details, keep your password confidential, and tell us promptly if you believe your account has been accessed by someone else. You are responsible for everything done through your account. Do not share login credentials — invite the person to your workspace instead, so access can be managed and withdrawn. Accounts are for people aged 18 or over.
4.Tutor and organisation responsibilities
Every account has a workspace. On plans that support a team you can invite colleagues and give each of them a role that determines what they can see and do. The workspace owner is responsible for who is in the workspace and for the conduct of its members; removing a member ends their access but does not delete the records they created.
- Use TutorClear lawfully and comply with the rules that apply to your own business.
- Make sure the content you put into TutorClear is accurate and that you are entitled to put it there.
- Configure the product to match how you actually work — availability, cancellation policy, services and prices, booking page and notification settings are yours to set and keep current.
- Check what the product sends on your behalf. Reminders, confirmations, reports and invoices go to your clients with your business name on them.
- Treat booking-management links, portal invitations and file links as sensitive, and keep your own copies of anything you cannot afford to lose.
5.Student and client information
The records you enter about your students, their parents and guardians, and your enquirers are yours. TutorClear stores and processes them to provide the service and does not use them for its own purposes.
You are responsible for having appropriate permission — including any parental or guardian consent your circumstances require — to record and use information about a student, for deciding what is appropriate to record, for choosing who to invite to the student portal, and for responding to requests from your students and their families about their own information.
6.Acceptable use
Do not:
- Send spam or unsolicited marketing, or message people who have not agreed to hear from you.
- Upload malware, or content that is unlawful, abusive or infringes someone else's rights.
- Try to access another workspace's data, or probe or bypass our security controls.
- Place automated load on the service beyond ordinary use, or circumvent plan limits, rate limits or seat counts.
- Resell or white-label TutorClear as your own product, or use it to build a competing service.
- Use the service in a way that would breach the rules of a third-party provider it connects to.
7.Third-party integrations
Google, Microsoft, Zoom and WhatsApp integrations are optional and off until you connect them. Your use of a connected service is governed partly by your own agreement with that provider, and TutorClear is not responsible for its availability, outages, or changes it makes to its service — if a provider withdraws access or changes how it works, the corresponding TutorClear feature may stop working. Some providers charge you directly; WhatsApp messaging in particular is billed to you by Meta on your own account. You can disconnect an integration at any time.
8.AI features
Ask TutorClear is optional. Using it sends your question and the relevant workspace information to a third-party model provider, as described in the Privacy Policy.
AI-generated responses may contain errors. You remain responsible for reviewing AI output before relying on it or sending it to a client. The assistant can prepare changes such as booking, rescheduling or cancelling a lesson, but never applies one by itself — a confirmation you click is your action and you are responsible for it. Nothing the assistant produces is professional advice.
9.Subscriptions and billing
TutorClear offers paid subscription plans. Current plans and prices are shown on the Pricing page, which is the authoritative source; prices may change, but a change will not affect a period you have already paid for.
- Payments are processed through Stripe on its hosted checkout.
- Subscriptions renew automatically according to the billing period shown at purchase unless cancelled.
- You are billed in the currency of the region set on your workspace. Prices are shown exclusive of any tax that applies; any tax is added at checkout.
- If a payment fails, Stripe retries it and your workspace keeps its current features while that happens. If payment ultimately fails, the subscription ends.
- Charges are not refundable except where the law requires it or where we agree otherwise in writing.
10.Plan changes
You can move to a larger plan at any time from Settings → Plan, and the new plan's features and limits apply once the change completes. Self-service plan changes may be limited to upgrades: to move to a smaller plan, contact us and we will arrange it. Reaching a plan limit makes the affected feature unavailable until you free up room or upgrade — nothing is deleted because of a plan limit or a plan change. Larger tutoring businesses can arrange a custom plan with us rather than buying online.
11.Cancellation
You can cancel at any time through the billing-management flow available from Settings → Plan. Cancellation takes effect at the end of the period you have already paid for, so you keep your plan's features until then. After that the workspace continues on the entry-level plan's limits and your data remains in place. To have your account and workspace deleted, contact us.
12.User content
Everything you put into TutorClear — your students, records, notes, files, reports, invoices and settings — remains yours. We claim no ownership of it.
You grant us only the permission we need to run the service for you: to store, process, transmit and display your content in order to provide TutorClear, including sending the messages you configure and passing content to the providers described in the Privacy Policy. That permission exists for that purpose alone and ends when your content is deleted. You can export your records as CSV at any time from Settings → Import & export.
13.Intellectual property
TutorClear, including the software, its design and the TutorClear name and marks, belongs to us and our licensors. You get a limited, non-exclusive, non-transferable right to use the service while this agreement is in force. Nothing here transfers ownership, and you may not copy, modify, reverse-engineer or create derivative works from it except to the extent the law says you may.
14.Service availability
We aim to keep TutorClear available and working well, but we do not offer a guaranteed uptime commitment. The service can be unavailable because of maintenance, a fault, or a problem at one of the providers it depends on. We may add, change or remove features as the product develops; where a change materially reduces a core part of the service you are paying for, we will give you reasonable notice through the service.
15.Suspension and termination
You may stop using TutorClear at any time. We may suspend or terminate access where you materially breach these terms — particularly the acceptable-use section — where required by law, or where continued use would put the service or other customers at risk. Where circumstances allow, we will tell you first, give you a chance to put it right, and give you a reasonable opportunity to export your data.
16.Disclaimers
TutorClear is provided "as is" and "as available". To the extent the law permits, we exclude implied warranties of merchantability, fitness for a particular purpose and non-infringement.
We do not warrant that the service will be uninterrupted or error-free, that it will meet every requirement you have, or that AI-generated output will be accurate, and we do not warrant the behaviour of third-party services you choose to connect. Nothing in these terms excludes or limits liability that cannot lawfully be excluded or limited.
17.Limitation of liability
Subject to the paragraph above, and to the extent the law permits, neither party is liable for indirect or consequential loss, loss of profits, loss of business, loss of goodwill or loss of anticipated savings. Our total liability arising out of or in connection with this agreement is limited to the amount you paid us for the service in the twelve months before the event giving rise to the claim.
18.Changes to the terms
We may update these terms as the product and the business change. The date at the top of the page is the date the wording last changed. Where a change materially affects your rights or obligations, we will give you notice through the service before it takes effect. Continuing to use TutorClear after a change takes effect means you accept the updated terms.
These terms are governed by the laws of England and Wales.
Questions about these terms can be raised through the support and contact options made available through the service. See also our Privacy Policy.
